VerseTrics (“we,” “our,” or “us”) operates the VerseTrics smart attendance platform. We are committed to protecting the privacy and security of our users’ personal, location, and biometric data. This Privacy Policy describes how we collect, use, process, and protect your information when you use our web platform or our mobile application.
1. Information We Collect
In order to provide our automated attendance, geofencing, and validation services, we collect the following categories of data:
A. Personal Profile Information
When you register an account or are registered by your employer, we collect details including your Full Name, Email Address, password hashes, and profile photos.
B. Biometric Verification Data (Facial Templates)
To verify employee identity during check-in/out and prevent unauthorized clocking (“buddy punching”), our application processes facial images captured by the device camera. We extract mathematical facial biometric descriptors (facial templates) to compare and verify your identity. These templates are stored securely and encrypted in our database.
C. Geolocation Information
To verify check-in locations against geofenced work zones, our mobile application retrieves GPS and network location coordinates when you perform a check-in or check-out, and periodically in the background when the app is active to trigger geofence automation. Location data is captured solely to verify work attendance and is never used to track your activities outside of work hours.
D. Device and Usage Data
We automatically collect basic technical details including your IP Address, browser type, device type, operating system version, and system logs representing sign-in history.
2. How We Use Your Information
We use the collected information for purposes necessary to run the attendance services, including to:
- Authenticate your identity and log your daily work attendance.
- Verify that check-ins occur within authorized geofenced work boundaries.
- Generate employee timesheets, total work hours, and payroll statistics for your organization’s management.
- Send system notifications, updates, and safety alerts.
- Detect and prevent fraud, location spoofing, or unauthorized system access.
3. Data Sharing & Disclosure
We do not sell, rent, or trade your personal, location, or biometric data to third parties.
Your attendance records, name, email, location coordinates of check-ins, and shift durations are shared directly and only with your respective organization’s administration and management (employers) for legitimate business operations (e.g. timesheet approval and payroll processing).
4. Biometric Data Security & Retention Policy
We implement strict security measures to safeguard biometric facial templates:
- Templates are encrypted in transit and at rest.
- Biometric data is used strictly for identity verification during sign-in and attendance recording.
- Biometric templates are permanently deleted from our servers immediately upon the deletion of an employee profile or termination of the organization’s subscription.
5. Device Permissions Required
Our mobile app requires specific system permissions to function, which you can grant or deny through your device settings:
- Location Permission (Fine/Coarse): Necessary to verify geofenced clocking.
- Camera Permission: Necessary to perform facial scan verification.
- Storage Permission: Required to export timesheet and payroll summaries.
